How to Give Ecommerce Assist Access to Your Shopify Store (2025 Updated Guide)

Matches the 2025 Shopify admin exactly as shown in your screenshot.

Step 1: Log in to Your Shopify Admin

  1. Go to your-store-name.myshopify.com/admin.

  2. Log in with your store owner credentials.

Step 2: Open the Users Section

From the left-hand menu (as shown in your screenshot):

Settings → Users

This page now shows:

  • Users (previously “Users & Permissions”)

  • Your Store Owner account

  • An Add users button in the top-right

Step 3: Add Ecommerce Assist as a User

Click Add users (top-right in your screenshot).

You will now see:

  • Add user panel

  • Fields for Name + Email

  • A full list of permissions grouped under categories

  • An option to assign a Role (optional)

Enter the details we provide:

Step 4: Assign a Role (Optional but Recommended)

Below “Users” in your menu, you’ll now see Roles.

To create a reusable safe-access bundle:

  1. Go to Settings → Roles

  2. Click Create role

  3. Name it: Ecommerce Assist

  4. Tick only the permissions we need (see below)

  5. Save the role

When adding a user, you can now simply choose this role instead of selecting permissions manually.

Step 5: Choose Permissions Safely

Shopify’s 2025 permissions layout is divided into clear sections.
To keep your revenue private, untick anything related to money, analytics or payouts.

Products

  • View, add and edit products

  • Manage collections

Content

  • Pages

  • Blogs

  • Navigation

  • Files

Online Store

  • Themes (so we can work on a duplicate theme)

  • Preferences if needed

Apps & Channels

  • Only relevant apps (SEO, reviews, subscriptions, etc.)

Untick these to hide your revenue, orders, and finances

Do not grant:

Orders
Customers
Analytics / Reports
Finances (payouts, taxes, revenue)

These give access to sensitive sales and performance data.

Step 6: Keep Theme Editing Safe (Important)

If we are doing design or layout changes:

  1. Go to Online Store → Themes

  2. Click the beside your live theme

  3. Choose Duplicate

  4. Rename it: “Working copy for Ecommerce Assist”

  5. We will edit the duplicate

  6. Once you approve changes, you or we publish it

This prevents accidental changes to your live shop.

Step 7: Send the Invite

When permissions are selected:

Click Send invite.

The invited user (Ecommerce Assist) receives an email from Shopify with a secure login link.

Optional: Collaborator Access (if needed)

If we send you a collaborator request instead of you adding us manually:

  1. Go to Settings → Users

  2. Scroll to Collaborators (new section in 2025)

  3. Approve the request

  4. Adjust permissions if needed

  5. Confirm

This method is even more secure because access is tied to our Shopify Partner account.

Step 8: Review & Remove Access Anytime

You always remain in control.

To review:

Settings → Users
You will see:

  • Staff

  • Collaborators

  • Their role and status

To remove:

  1. Click the user

  2. Click Remove user

  3. Confirm

To temporarily pause:

  1. Click Suspend access

  • Never share your store owner email or password

  • Use Roles for all external helpers

  • Always duplicate your theme before any edits

  • Review access every 2–3 months

  • Use 2FA (two-factor authentication) on your store owner account
